VoiceMail Information

 

 

Introduction

UCSB Physics' new Voice over IP (VoIP) telephone system comes with a new voice mail system.

The new voice mail system is similar to the one used by the UCSB campus phone system, but has a different menu layout and some new features. To log in to voice mail push the retrieve botton on the phone (bottom right programmed key on Aastra phones) or, dial extension number "*98" or call 805-893-7888.

Probably the most useful part of all the information is this quick guide Menu Guide Reference. This is the complete layout of the menus you will use to check your voice mail, record greetings, and a few tips.

Email integration (Receive Voicemail message notifications and/or attached files in your email inbox)

When someone leaves you a voice mail, you will receive an email message which will include the phone number of the sender, the length of the message, and a .wav file attachment. However, playing this wav file and deleting it does not clear the voice mail from your new voice mail messages on your phone. The .wav file is stored on the email server, as a result you must delete the message twice - once in your email - and a second time from your phone.  One of the advantages to the storage of the .wav file on the email system is that you can now review and selectively read any message first.  If you do not want to get email notifications for voice mail, contact phone-operator@physics.ucsb.edu to let us know.

Recorded Greetings

You can record only two different greetings for your voice mailbox.  You can also record your name.The unavailable greeting is played when someone calls you and you do not answer the phone. The busy greeting is played when you are on an active call. The temporary greeting overides the unavailable and busy greeting and must be deleted when you no longer wish for it to be active.Once your temporay greeting is deleted, your unavailable greeting will be restored. 

If you do not record one of these messages, callers will hear a prerecorded message using your name recording. If you do not record your name, they will hear a prerecorded message with your extension number.

There is no option for internal and external greetings.

Forward voice mail messages

You can forward voice mail messages to other UCSB Physics VoIP users (but not to users on the UCSB campus voicemail system) or compose and send a voice mail from within the system.

There is a method to send voice mail to groups of users (like a distribution list) but it is not active yet.

A voice mail account can hold only 99 messages total. After this limit is reached, callers will not be able to leave any more messages.

 

Compatibility with UCSB campus phone system

From your VoIP phone, you can place calls to people on the UCSB campus phone system and leave voice mail for them. Campus users can also call VoIP users and leave you voice mail.  However, the two voice mail systems are separate. You cannot forward a voice mail message from one voicemail system to the other, unless it is in your email account as a .wav file.
